EAFS 2025 Oral Presentation Guidelines

  • Please arrive in your room 10 minutes before your session is due to start to meet your chairperson, room manager and ensure your presentation is loaded in the room.
  • Keynote presentations must last no more than a maximum of 25 minutes to allow for 5 minutes for questions, and a handover to the next speaker, within each 30 minutes slot.
  • Oral presentations must last no more than a maximum of 12 minutes to allow for 3 minutes for questions, and a handover to the next speaker, within each 15 minutes slot.
  • Sessions chairs will keep strict time and will terminate any presentation that goes beyond the allowed time. This is essential, in order to keep parallel sessions synchronised so that delegates may move between sessions.
  • Presenters must use the computer provided by the conference centre: it is not possible to present from a personal computer. The CCD operate a networked system and so all slides should be uploaded the day before your presentation time in the speaker preview room, located in Liffey Meeting Room 1 on Level 1. Please note once presentations have been provided to the speaker preview room, they cannot be changed.
  • Presentations taking place in the Auditorium, Wicklow Hall 1 & 2 and Liffey Hall 1 & 2 will be managed by the venue technicians, from a desk, at the back of the room. They will activate any video or audio file.
  • Presentations taking place in the Ecocem Room, Wicklow Meeting Rooms and Liffey Meeting Rooms will be managed by the presenter from the laptop on the podium. The speaker can press to play on their slide to activate any video/audio.
  • Comfort monitors will be placed front of the podium in the Auditorium, Wicklow Hall 1 & 2 and Liffey Hall 1 & 2. In all rooms, presenters may also bring a personal tablet / iPad onstage, if needed.
  • Presentations should ideally be in PowerPoint format but PDF will also be accepted.
  • All of the projection screens in the venue are 16:9 format (widescreen).
  • All rooms have a clicker/pointer.
  • While complimentary wi-fi is available through-out the Convention Centre Dublin we suggest that presenters should not rely on internet access during their presentation. Therefore, we recommend to embed all fonts and media within the presentation file, to not use Google Slides and do not rely on online materials, media, web pages, live demos, etc.
  • There will be a room manager and/or volunteer assigned to each room to assist speakers, so if you have any difficulties during your presentation, please let them know and they will be happy to help.

Please note that if you are giving an oral presentation about an EU funded project or cooperation, you should have the EU logotype included in your presentation slides.
